|The Project Administator assists the management and design teams with administrative tasks including filing, answering phones, keeping work logs, project schedules, financial records, and other documentation relating to projects. They may also oversee the work in progress and note any problems in the operations, and may come up with solutions to improve work-flow.|
These administrators look over contractors’ requests for funds and approve them if needed and may be in charge of choosing which materials and other resources should be used. Multitasking skills are important, as they may have many duties and projects to oversee at once, and strong computer skills are required.
|SKILLS AND RESPONSIBILITIES|
Prepare, track, submit and file proposals, contracts, financial reports and other documentation.
Support key players with communication, travel, and meetings.
Coordinate, track and report on project plans and budgets.
Record/Type-up meeting minutes.
Answer phones including taking detailed messages and filtering out sales and unwanted calls.
Proficiency in Microsoft Office applications including Word, Project, Excel, Outlook and proven ability to learn new software programs.
Self-motivated work ethic and able to manage tasks as they relate to budgets.
Ability to multi-task and work on multiple projects simultaneously.
Excellent verbal and written communication skills.
Attention to detail, accuracy and skilled in commercial construction documentation.
Solid relationship management skills at all levels in internal and external to organization.
